1. What This Policy Is About

This policy explains how DocsCollect collects, uses, discloses, and protects information when you use our document management platform and related services.

It applies to account holders, authorized users, and individuals whose information is submitted via the platform.

2. Information We Collect

You provide directly:

  • Name, email, company, phone
  • Billing and payment details (processed by third-party payment processors)
  • Job title, industry, preferences
  • Support messages and feedback

Generated through use:

  • Documents, files, images, and content uploaded by you or your clients
  • Document requests, due dates, comments, statuses, client info
  • Usage data: login times, feature activity
  • Technical data: IP address, browser, device, OS, logs

From third parties:

  • Payment processors: Billing and payment information, such as billing address and payment method details. Payment information is collected and processed by Polar, our payment service provider, in accordance with Polar’s terms and privacy policy. DocsCollect does not store full card numbers.
  • Email providers: delivery and engagement metrics
  • Analytics and hosting providers: technical and aggregated usage data

3. How We Use This Information

We use information to:

  • Provide and maintain the service
  • Process document requests, uploads, approvals, and reminders
  • Manage your account and billing
  • Provide support and respond to inquiries
  • Send service-related notices and important updates
  • Send marketing communications where permitted or with consent
  • Improve, develop, and monitor the service
  • Prevent fraud and ensure security
  • Comply with law and enforce our Terms

4. When We Share Information

We do not sell personal information.
For California purposes, as of the effective date, we also do not share personal information for cross-context behavioral advertising unless we clearly disclose otherwise and provide required opt-out options.

We may share information with:

  • Service providers (hosting, payments, email, support, analytics, security)
  • Legal and safety: when required by law, to enforce Terms, or to protect rights/safety
  • Business transfers: in a merger, acquisition, or asset sale

Service providers are contractually restricted to using data only to provide services to us.

5. Sensitive Information

Sensitive personal information may include government IDs, financial account credentials, health data, biometrics, precise location, racial/ethnic origin, religious beliefs, etc.

We do not intentionally collect sensitive information unless necessary. You should not upload sensitive data unless:

  • It is necessary and lawful for your use
  • You have all required notices and consents
  • You have the right to share it with us

6. Data Security

We use reasonable administrative, technical, and physical safeguards to protect data, including:

  • Encryption in transit and at rest
  • Access controls and authentication
  • Monitoring, logging, and security testing

But no system is perfectly secure.

7. Data Retention

  • Active accounts: data retained while account is active
  • Canceled accounts: may keep data during a 30-day grace period for reactivation or export
  • Backups: may be removed within a reasonable period, up to 90 days

We delete or anonymize data when no longer needed for the service or legal purposes.

8. Your Rights

California residents may have rights to:

  • Know what data we collect and how we use it
  • Request deletion
  • Request correction
  • Opt out of sale or sharing
  • Limit use of sensitive information
  • Not be discriminated for exercising rights

South Korea:
You may have rights to access, correct, delete, suspend processing, or withdraw consent, subject to legal exceptions.

They have their own privacy policies; we are not responsible for their practices.
